South Coogee Children’s Services Privacy Policy

At South Coogee Children’s Services we respect the privacy of children and their parents, carers and educators.

This privacy policy outlines how we collect, use, hold and disclose personal information, how you may access and correct the information we hold about you and how to make a complaint if you have a concern about your privacy.

When you give us your personal information, you consent to our collection, use and disclosure of your personal information in line with our privacy policy. As our policy may change from time to time, we encourage you to check our website so you are aware of our current policy. This policy was last updated in July 2018.

PURPOSE

We collect and hold personal information about children, parents, carers and staff for the main purpose of providing high quality early years care and childhood education services.

This information is also collected for reasons including: health, medical and care services; documenting children’s development, experiences and learning; enrolment purposes; for administrative and billing purposes; employment and related purposes; and providing you with information about our organisation, services and activities. SCCS will only use personal information for the purpose it was collected, or a reasonably expected or related secondary purpose.

WHAT PERSONAL INFORMATION DO WE COLLECT AND HOLD?

Parents and carers If you are enrolled and using our service or on a waitlist we collect details including your name, contact details, address, gender, date of birth, bank account details, Centrelink and other identifiers (for CCS) and other information necessary and relevant for providing early childhood services. We will also collect emergency contact details.

Children

We will collect details such as name, gender, date of birth, address, bank account details, Centrelink and other identifiers (for CCS), health information such as immunisation statement, medical conditions and/or medical needs and other information necessary and relevant for providing early childhood services, for children who are using, have used and may be on a waitlist to use our service. We may also have photographs and videos of children as part of our provision of services and keeping you informed of your child’s progress and activities at SCCS.

Certain personal information may be sensitive information, which is required for us to deliver our services, or to comply with legal requirements under NSW or federal laws. We will seek your consent when collecting this information and ensure it is stored securely. This information will be restricted to those who need to know this information to carry out their responsibilities, or where we are legally obliged to disclose it.

Employees

We collect and hold personal information about you relevant to your application for employment, including your name and contact details, resume, employment history, academic records and working with children and police checks.

HOW DO WE COLLECT AND HANDLE PERSONAL INFORMATION?

Methods of collection

Personal information could be collected in a number of ways: via forms, through our website, via email or mobile apps, over the phone, in direct conversation with you, through a third person (such as a parent or guardian) or from nominated third parties.

Photos and videos of children may be collected by our staff and used with the specific consent of families and/or carers, and they are usually taken on site (or excursions) with cameras or handheld devices.

When you browse our website, we may collect your IP address and use cookies and analytical technologies to track and enhance your online experiences. Cookies and similar tools do not access your personal information and you can choose to reject them by changing your browser settings, however this may prevent you taking full advantage of our on-line functionality. Generally, if you choose not to provide certain personal information, we may not be able to provide you with the level of service we would like to provide.

Storage of information

We take all reasonable steps to protect personal information that we hold from unauthorised access, modification, misuse, loss and disclosure. Information may be stored in paper or electronic format (or both), at our premises and/or in external storage facilities. We may store, process or back-up your personal information on computer servers or storage facilities that are located within Australia and overseas including through third parties who provide services to our business.

Disclosure

SCCS will only disclose your personal information for the purpose it was collected, or a reasonably expected or related secondary purpose. This may include a disclosure to third parties providing services to us. When we do, we will take reasonable steps to ensure these service providers do not breach the Australian Privacy Principles.

We may also be authorised or required by law under certain circumstances to disclose personal information we hold to child protection and/or family or community services agencies and to health authorities.

ACCESS, CORRECTION AND COMPLAINTS

You can seek access to your personal information by making a written request to our nominated Privacy Officer using the details set out below. Employees other than the Privacy Officer are not generally able to provide you with access. In some circumstances we may need to decline access to your personal information, and where that happens we will tell you why.

We will take reasonable steps to correct the information so that it is accurate, complete and up to date. If at any time you believe that our record of your personal information is incorrect, or where you have changed your details, please let us know.

If you wish to make a complaint about a breach of the Privacy Act or Australian Privacy Principles in relation to personal information we hold, please contact us and we will take reasonable steps to investigate the complaint and respond to you. If you are not happy with our response, you may complain directly to the Australian Information Commissioner.
